Send e-signed engagement letters

Engagement letters live in Word templates, get exported to PDF, emailed as attachments, and come back — sometimes — as scanned signatures. Nobody can say which clients have a current signed letter without opening a folder tree. And repricing means retyping the whole services table from scratch.

Canadian accounting professionals — Send e-signed engagement letters

Firms send engagement letters from SpidNums by building the letter from the client's assigned services, adding custom line items, and applying the firm's e-signature — typed, drawn, or uploaded. A branded email carries the letter to a public portal page where the client signs without creating an account. The signed letter stays on the client record, and either side can download a PDF.

How firms run it, step by step

  1. Build the letter from services

Pull the client's assigned services into the letter with their prices from the Services catalogue, then adjust them or add custom line items for one-off work.

  2. Write the terms once

Terms and conditions are sanitised rich text, so the letter carries real formatting without pasted-in markup problems.

  3. Apply the firm signature

Sign as the firm before the letter goes out — type a signature, draw one, or upload an image.

  4. Send the branded email

The client receives an email in the firm's branding with a link to a public letter page. No login, no account creation, no attachment to lose.

  5. Client signs on the letter page

The client reviews and e-signs on accept. The signed letter is stored against the client, and Download PDF prints a copy from the browser.

Frequently asked questions

Does the client need a SpidNums account to sign an engagement letter?

No. The engagement letter email links to a public, no-login page where the client reviews and e-signs the letter. Signing requires no account, password, or portal invite — the accepted letter is then stored against the client record on the firm's side.

How does the firm's e-signature work on engagement letters?

The firm signs before sending by typing a signature, drawing one, or uploading an image. The client then adds their own e-signature when they accept the letter on the public letter page, so the stored letter carries both signatures.

Can we download a signed engagement letter as a PDF?

Yes. Signed letters have a Download PDF option that uses the browser's print-to-PDF, so either side can keep a file copy. The system copy stays on the client record either way.
