Hand off work between staff cleanly

When a file changes hands, the work moves but the context stays behind — in the old owner's inbox, memory and desktop folders. The incoming person re-asks the client questions the firm already answered, and the client notices. Departures and season-end transitions are where clients quietly fall through.

Canadian accounting professionals — Hand off work between staff cleanly

Hand-offs in SpidNums move the record, not just the file. Reassign the client's manager in the Client CRM, reassign the open tasks in Task Master, and the Internal Team workload numbers update live on both sides. Internal notes written along the way give the incoming owner the history instead of an inbox reconstruction exercise.

How firms run it, step by step

  1. Reassign the client's manager

Change the assigned manager on the client record — ownership becomes a fact of the database, visible to anyone who opens the client.

  2. Move the open tasks

Filter Task Master by the outgoing assignee and reassign their open tasks, keeping each project's task order and statuses intact through the move.

  3. Check both workloads after the move

The roster's live-computed numbers — clients handled, open tasks — confirm the outgoing side emptied and show what the incoming side now carries.

  4. Write the hand-off note

An internal note recording the state of play — what is chased, what is promised, what is odd about this client — is the cheapest insurance in the whole transition.

  5. Verify nothing turned orange in transit

A pass over the Needs attention list after the move catches any deadline that tightened while attention was on the transition itself.

Frequently asked questions

What happens to deadlines when work changes hands?

Nothing — and that is the point. Due dates derive from services, cadences and fiscal year-ends on the client record, not from whoever owns the work, so reassigning a manager or a task never resets or loses a date. The new owner inherits the same colours the old one saw.

How do I find everything a departing staff member owns?

Start at the Internal Team roster: it lists each person's clients handled and open tasks. Reassign the clients from their records, then filter Task Master by assignee to move the open tasks. The roster's numbers falling to zero is your confirmation nothing was left behind.

Will clients notice an internal hand-off?

Not through the software. The client portal shows a client their services, deadlines, documents and engagement letters — internal assignments are never client-visible. Whether to introduce the new manager personally is a relationship decision, not a system one.
