Why CRA deadlines are hard to track at firm scale

No two clients share a calendar. Every corporate client has its own fiscal year-end, every GST/HST registrant its own reporting cadence, and personal tax adds a seasonal spike on top — so a firm of two hundred clients is really tracking hundreds of independent clocks.

Spreadsheets and wall calendars fail quietly: they hold last year's dates, they live outside the client data, and they depend on someone updating them. The failure mode is not ignorance of the rules — it is one client's date slipping through, with late-filing penalties and interest arriving as the first notice.

How the Reminders feed works

Reminders are generated from the client data the firm already keeps, not entered by hand. Personal-tax reminders appear every January for the season ahead; GST/HST reminders follow each client's assigned filing cadence; year-end financial-statement reminders appear one month before each client's fiscal year-end; and task due dates from Task Master join the same feed.

The feed is grouped Overdue, Due soon and Upcoming, and each item can be snoozed, marked done or dismissed, so the list stays a working queue rather than a graveyard of stale alerts. A digest email can be sent to the team on demand.

One SLA colour rule runs everywhere in SpidNums: green when a date is more than seven days out, orange within seven days, red when due or overdue. The same client shows the same colour on the dashboard, the client list and the feed.

What changes for the firm day-to-day

The day starts with triage instead of recollection: open the feed, clear the red, plan the orange. Nothing rides on one person remembering that a client's June year-end puts financial statements on this month's plate — the feed already said so.

Frequently asked questions

Where do the deadline dates come from?

From the client data itself. GST/HST reminders follow the filing cadence on each client's service assignment, year-end reminders derive from the fiscal year-end on the client record, personal-tax reminders generate each January, and task due dates come from Task Master. Nobody maintains a separate deadline calendar by hand.

What do the SLA colours mean?

Green means the date is more than seven days away, orange means it is within seven days, and red means it is due today or overdue. It is one shared rule across SpidNums — dashboard, client list and Reminders feed all colour the same file the same way.

Are the deadline email digests automatic?

Digests are sent deliberately, on demand — a manager sends the current deadline picture to the team when it is wanted, such as the start of a week or the run-up to a filing date. Each send goes out branded through the firm's email transport and is recorded in the delivery log.

Does SpidNums file returns with the CRA?

No. SpidNums is not a tax engine and does not e-file — preparation and filing stay in the firm's tax software, such as TaxCycle. What SpidNums manages is the operational layer around filing: which client is due, when, who owns the file and whether it is on track.
