Team workload & assignment

A practical product capability for Canadian accounting and bookkeeping practices.

Canadian accounting professionals — Team workload & assignment

The SpidNums Internal Team module gives Canadian accounting firms a staff roster with live-computed workload: for each accountant, how many clients they handle and how many open tasks they carry. Managers assign clients and tasks against that picture and keep internal notes with the record, so balancing work becomes a decision made on numbers rather than impressions.

Internal notes stay with the work

Why workload imbalance stays invisible

Because nobody measures it. Work gets assigned to whoever is nearest, whoever handled the client last, or whoever never says no — and the firm discovers the imbalance only when a strong performer burns out or a quiet overload lets a file stall.

Self-reporting does not fix it. Asking staff how loaded they are produces politeness, not data, and a manager reassigning by gut is guessing with confidence.

How the Internal Team module works

The roster lists every staff member, and against each name SpidNums computes workload live from the actual data: clients handled and open tasks. Nothing is self-reported and nothing needs updating — assign a client or close a task and the numbers move.

Assignment happens in the same place. Managers put clients and tasks with named staff, and internal notes travel with the records, so the context behind an assignment — the client's quirks, the file's history — transfers along with the responsibility.

What changes for the firm day-to-day

Rebalancing happens before the crunch instead of after it. A manager scanning the roster sees the accountant carrying forty open tasks next to the one carrying nine, and moves work while it is still cheap to move.

Seasonal staffing gets a factual footing: new hires show up on the roster with their load visible from day one, and when someone leaves or goes on vacation, their clients and open tasks are a list to reassign, not a mystery to reconstruct.

What ships in the module

  • Each staff member's workload — clients handled and open tasks — is computed live from assignments, never entered manually.
  • Clients and tasks are assigned to named staff from the roster.
  • Internal notes attach to records, so context transfers with the work.
  • The flat plan includes unlimited team members; adding staff never changes the price.

Frequently asked questions

How does SpidNums calculate each person's workload?

Live, from assignments — the number of clients a staff member handles and the open tasks they carry. Because it is computed from the working data rather than entered by hand, the picture is current whenever a manager looks, without timesheets or status surveys.

Is there a per-seat charge for adding team members?

No. SpidNums is one flat plan — USD $1,200 per firm per year — with unlimited team members and unlimited clients. Adding seasonal preparers for T1 season or growing the permanent team never changes the price, so there is no per-seat maths in a staffing decision.

Does the Internal Team module track time?

No — SpidNums is not a timesheet. Workload is counted in clients handled and open tasks, which answers the operational question “who has capacity?” without asking staff to log hours. Firms that bill by time keep their existing time-tracking tool alongside.
