Services catalogue & recurring cadence
A practical product capability for Canadian accounting and bookkeeping practices.

The SpidNums Services catalogue is where a Canadian accounting firm defines what it sells: typed services such as T4 slips, GST/HST filings, bookkeeping, year-end financial statements and corporate tax, each with a code, a frequency and a default price. Assign a service to a client, override the price or cadence where needed, and its next-due date starts driving reminders and the work.

Why firms cannot list what each client buys
In most practices the service list lives in engagement letters and partners' heads. Ask what a given client buys, at what price, and when the next filing is due, and the answer requires opening a PDF from last year — or asking the partner who signed it.
That gap costs real money. Services delivered but never priced, cadences tracked nowhere until the deadline is close, and annual repricing done by memory rather than against a record of what was actually agreed.
How the Services catalogue works
The firm defines each service once: a type — T4, T5, GST/HST, bookkeeping, year-end financial statements, corporate tax, personal tax, audit — plus a code, a frequency and a default price. Frequencies run one-time, monthly, quarterly, semi-annual and annual.
Services are then assigned per client. The defaults are a starting point, not a rule: a client who pays a negotiated rate or files on an unusual cadence gets an override on their own assignment, while the catalogue keeps the firm-wide standard intact.
Each assignment tracks a next-due date, and that date is what animates the rest of the system: GST/HST reminders follow the client's cadence, engagement letters price from the assigned services, and the dashboard's recurring-revenue chart rolls the assignments up.
What changes for the firm day-to-day
“What does this client buy?” becomes a lookup instead of an investigation — every client shows its assigned services, each with the real price and cadence for that client.
Recurring work stops depending on someone remembering the cycle. The frequency and next-due date on each assignment keep the filing rhythm visible in Reminders, and at renewal time the engagement letter builds from the services already on record rather than from a blank page.

Frequently asked questions
Is the Services catalogue a billing or invoicing system?
No. SpidNums does not process payments or issue invoices. The catalogue's prices feed engagement letters — the services-based pricing a client reviews and e-signs — and the dashboard's recurring-revenue view. Actual invoicing stays in whatever billing tool the firm already uses.
What service frequencies does SpidNums support?
Five: one-time, monthly, quarterly, semi-annual and annual. The frequency is set on the service and can be overridden per client, which is how one GST/HST service in the catalogue serves both a monthly filer and an annual filer correctly.
Can two clients pay different prices for the same service?
Yes. The catalogue holds the default price; each client's assignment can override it. The firm keeps one clean service list while every client record reflects the deal that was actually struck — and the override, not the default, is what flows into that client's engagement letter.
How does a service assignment turn into scheduled work?
Through its cadence and next-due date. Each assignment carries a frequency and a next-due date, and those drive the Reminders feed — GST/HST on the client's cycle, annual work on its anniversary. The firm then runs the period's work as projects and tasks in Task Master, with the dates already on the board.
