Client management for accounting firms
A practical product capability for Canadian accounting and bookkeeping practices.

SpidNums gives Canadian accounting firms one structured client record: legal name, fiscal year-end, status, plan, assigned manager, and multiple contacts with designations. Teams can answer what a client needs and what happens next without reconstructing the relationship from inboxes. Every service, deadline and engagement letter hangs off the same record, so the client file is the operational hub, not a static list.
Central client and contact records
Service and reporting-frequency visibility
Clear ownership across the firm
Where does client knowledge live in most firms?
Usually in fragments: a master spreadsheet that is three versions behind, an inbox that only one partner can search, and the memory of whoever handled the file last. The firm knows its clients — but no single place does.
The cost shows up at the worst moments. A staff member covering a colleague's file cannot find the signing officer's number. A fiscal year-end recorded wrong in one copy of the spreadsheet quietly shifts a filing season. Client questions get answered from recollection rather than from the record.
How the Client CRM works
Each client is one record carrying legal name, fiscal year-end, status, plan and an assigned manager, with as many contacts as the client has — each contact labelled with a designation, so the bookkeeper, the signing officer and the payroll contact are distinct people, not one phone number.
The record is where the rest of the system attaches. Assigned services and their next-due dates, engagement letters and their signature status, portal access and documents all hang off the client, and administrators can add custom fields for whatever else the firm tracks.
- Structured fields: legal name, fiscal year-end, status, plan, assigned manager
- Multiple contacts per client, each with a designation
- CSV/XLSX import and export with a downloadable template
- Portal invites by magic link with a temporary password
What changes for the firm day-to-day
Anyone can open a client and see the whole relationship in one screen: who to call, what services the client buys, what is due next and what has been signed. Cover for a colleague without an archaeology session first.
Because fiscal year-ends and service cadences live on the record, they drive the Reminders feed automatically — recording the data once is what puts the deadlines on the board. The client file stops being admin overhead and starts being the thing that runs the work.

Frequently asked questions
Is the SpidNums Client CRM a bookkeeping or ledger system?
No. SpidNums manages client relationships, services, deadlines and work — the operations around the ledger. Your bookkeeping, tax and payroll tools such as QuickBooks, Xero or TaxCycle stay in place; SpidNums holds the client record, who is responsible, and what is due next.
How many clients can we add?
There is no client limit. SpidNums is one flat plan — USD $1,200 per firm per year — with unlimited clients and unlimited team members, so a growing client list never changes the price.
How do we get our existing client list in?
Import it from a CSV or XLSX file. SpidNums provides a downloadable template showing the expected columns, and the same client table exports back to CSV or XLSX at any time, so your data stays portable.
Can clients see their own record?
Clients see a defined slice, not the internal record. Through the client portal they sign in to view their own services, deadlines, documents and engagement letters. Internal fields, notes and assignments stay inside the firm.
