Branded accounting client portal

A practical product capability for Canadian accounting and bookkeeping practices.

Canadian accounting professionals — Branded accounting client portal

The SpidNums client portal gives each client of an accounting firm a branded sign-in where they see their own services, deadlines, documents and engagement letters — and nothing belonging to anyone else. Invites go out as a magic link with a temporary password the client must change on first sign-in, and every portal session is JWT-verified.

Why "just checking in" emails fill the inbox

Clients ask for status because they cannot see it. Every "what do you need from me?" and "can you re-send that?" email exists because the client's services, deadlines and documents live only inside the firm. Each one costs a staff interruption and a lookup.

How the client portal works

The firm invites a client from their record in the Client CRM. The invite email carries a magic link and a temporary password, and the client must set a new password on first sign-in. From then on, every session is JWT-verified.

Signed in, the client sees only their own file: the services the firm delivers for them, upcoming deadlines, documents on their file, and their engagement letters. The portal carries the firm's branding — name, logo, colours — and runs on the firm's own domain or subdomain.

Is the portal required to sign engagement letters?

No — engagement letters are e-signed on a public, no-login page, so a brand-new client can sign before they ever have portal access. The portal is the ongoing relationship view; the signing page is the one-time front door.

What changes for the firm and its clients

Status emails drop because status is visible. Deadlines stop surprising clients, document questions start from a shared view, and the portal invite becomes a standard onboarding step alongside the engagement letter.

  • Clients answer their own "what's due?" questions
  • Every portal touchpoint reinforces the firm's brand, not a vendor's
  • Unlimited clients — the flat plan never charges per portal user

Frequently asked questions

What can clients see in the portal?

Only their own file: the services the firm delivers for them, their upcoming deadlines, the documents on their file, and their engagement letters. Sessions are JWT-verified and scoped to the signed-in client, so no client ever sees another client's information or the firm's internal boards and notes.

How do clients get portal access?

The firm sends an invite from the client's record. The email carries a magic link and a temporary password, and the client is forced to set a new password on first sign-in. No self-registration is involved — access exists only where the firm has granted it.

Does portal access cost per client?

No. SpidNums is one flat plan — USD $1,200 per firm per year — with unlimited clients and team members included, so inviting every client to the portal never changes the bill.

Can the portal run under our own brand and domain?

Yes. The portal carries the firm's white-label branding — name, logo, colours — and runs on the firm's own custom domain or an instant yourfirm.spidnums.app subdomain, so clients sign in at an address that belongs to the firm.
