Roll out a branded client portal

Clients email to ask what services they have, when things are due, and where their signed letter went — and the firm answers one inbox thread at a time. Generic portal tools exist, but they carry someone else's brand and a separate login clients forget. Adoption dies at the password-reset step.

Canadian accounting professionals — Roll out a branded client portal

Firms roll out a client portal in SpidNums by setting their branding — name, logo, colours, tagline — choosing a domain, and inviting clients by magic link. Each client signs in with a temporary password, is forced to set their own, and then sees their services, deadlines, documents, and engagement letters. The portal carries the firm's brand throughout, not SpidNums'.

How firms run it, step by step

  1. Set the firm's branding

Name, logo, colours, and tagline apply across the portal and the emails it sends, so clients see the firm, not the vendor.

  2. Choose the portal domain

Run the portal on the firm's own domain, or take an instant subdomain like yourfirm.spidnums.app while DNS is being arranged.

  3. Invite clients by magic link

Each invite from the client record carries a magic link and a temporary password, and the client must change it on first sign-in.

  4. Let clients see their own picture

A signed-in client sees their services, upcoming deadlines, documents, and engagement letters — their record only, with every session JWT-verified.

  5. Send engagement letters into the same place

New letters arrive with a branded email and sit in the client's portal, so signing and reference copies live where the client already looks.

Frequently asked questions

How do clients get access to the portal?

Admins send a portal invite from the client record. The invite carries a magic link plus a temporary password, and the client must set a new password on first sign-in. There is no self-registration — access exists only where the firm grants it.

What do clients see in the portal?

Their own services, deadlines, documents, and engagement letters — nothing belonging to any other client. Sessions are JWT-verified, so a client sees exactly the record the firm holds for them.

Can the portal run on our own domain?

Yes. Point the firm's own domain at the portal, or use an instant subdomain such as yourfirm.spidnums.app. Branding — name, logo, colours, tagline — is the firm's either way.
